Privacy policy

What personal data the Suraksha Gyan website and app collect, why, who can see it, how long we keep it, and the rights you have over it.

Last updated 27 October 2026

1. Who we are

Suraksha Gyan is a guard training and attendance app and website (surakshagyan.com) run by Transovative Solutions Private Limited, a company registered in India, with its registered office at 1304, Prima, Arkade Art, Pleasant Park, Mira Road, Maharashtra 401107. In this policy, "we", "us" and "our" mean Transovative Solutions Private Limited.

This policy follows India’s Digital Personal Data Protection Act, 2023, and the Information Technology Act, 2000, and the rules made under them. For any question about this policy or your data, contact our Grievance Officer (section 13).

2. Whose data this covers, and our role

  • Website visitors and business contacts. When you browse surakshagyan.com, use our free tools, or ask us for a demo or information, we decide how your data is used. We are the data fiduciary for this data.
  • Guards and other staff who use the Suraksha Gyan app. Your employer (usually a security agency or facility management company) signs up for Suraksha Gyan and decides how the app is used for its workforce. Your employer is the data fiduciary for your attendance, location and training data. We process that data on your employer’s behalf and on its instructions, as its data processor.
  • Employer administrators and supervisors who manage the app for their organisation. We process their account details to provide the service.

3. What we collect

On the website

  • Details you give us in a form, such as your name, company or agency name, mobile number, city, workforce size and what you are interested in. We use them only to respond to your request.
  • Usage information collected by Google Analytics, such as the pages you visit, the website or campaign that brought you here, your device and browser type, and your approximate location (city or region). See section 11.
  • Data you enter in our free tools (the guard cost calculator, duty roster maker, PP register maker and others) is saved only in your own browser so you can come back to it. It is not sent to us.

In the app

  • Account details: name, mobile number, employer, assigned site and role, and the language you choose.
  • Selfie photos and face recognition data. When you check in or out, the app takes a selfie and uses face recognition to compare it with the photo registered for you, so your employer can confirm that the right person marked attendance. Face recognition works by turning facial features into measurements, which are biometric data. We use your selfies and face recognition data only to verify attendance, never to identify you for any other purpose, and we keep and delete them on the same terms as your other app data (section 8).
  • Location at check-in and during your duty hours (see "Location in the app" below).
  • Attendance records: check-in and check-out times, the site, and alerts raised when you leave the assigned site.
  • Training records: lessons started and completed, quiz and test scores, and certificates earned.
  • Technical information such as device model, operating system and app version, so we can support the app and fix problems.

Location in the app

Security guards are deployed to protect a client’s people and property, and leaving the assigned post can put them at risk. With your permission, the app collects your device’s location when you check in and while you are on duty, including when the app is closed or not in use, so that your attendance can be verified and your supervisor can be alerted if you move away from the assigned site.

The app does not collect your location outside your duty hours. You can turn off location access at any time in your phone’s settings, but location-based attendance and alerts will then stop working. We do not sell location data or share it with anyone other than your employer and the service providers listed in section 6.

4. How we use personal data

  • To respond to enquiries and demo requests, and to follow up on them.
  • To provide the app: verify attendance, generate attendance (PP) registers, send leave-site alerts, deliver training and issue certificates.
  • To give each employer reports on its own workforce’s attendance and training.
  • To support users, keep the service secure, and fix problems.
  • To understand how the website and app are used and improve them, using information that does not identify you where we can.
  • To send business contacts product news or offers, only if you have agreed to receive them. You can opt out at any time.
  • To meet legal obligations, and to protect our rights or the safety of any person.

We process personal data with your consent, or where the law allows us to without consent, for example for employment-related purposes of your employer, or to comply with the law. Where we rely on consent, you can withdraw it at any time (section 9). Withdrawing does not affect what we did before.

5. What we don’t do

  • We do not sell or rent personal data.
  • We do not use guards’ attendance, location or training data for advertising.
  • We do not collect payment card details on our website or in the app.

6. Who we share data with

  • Your employer, for app users: attendance, location, selfies and training records are shared with the employer that registered you and with the supervisors it authorises.
  • Service providers that help us run the service, under contracts that require them to protect the data and use it only for us. These include Microsoft Azure, which hosts the app in India, and Google Analytics for website usage.
  • WhatsApp: if you contact us through WhatsApp, including from a website form, your message and number are handled by WhatsApp (Meta) under its own privacy policy.
  • Authorities, when the law requires it, or to protect the rights, property or safety of people.
  • A buyer or successor if our business is sold, merged or restructured, who must protect the data as this policy describes.

7. Where data is stored and how we protect it

App data is stored on Microsoft Azure servers in its West India region (Mumbai). We protect personal data with safeguards that include encrypted connections (HTTPS) between your device and our servers, access limited to authorised staff who need it for their work, and access controls that keep each employer’s data separate from other employers’ data.

If a breach affects your personal data, we will inform the affected employer, and, as the law requires, the Data Protection Board of India and the people affected.

8. How long we keep data

  • Website enquiries: as long as we need them to respond and follow up, and for no more than 2 years after our last contact, unless you become a customer. You can ask us to delete them sooner.
  • App data, including selfies, face recognition data, locations, attendance and training records: for the period set out in our contract with your employer. When an employer stops using the service, we delete or return its data within 90 days, except where the law requires us to keep it longer.
  • Website analytics data is kept in Google Analytics for 14 months.

9. Your rights

Under the Digital Personal Data Protection Act, 2023, you have the right to:

  • get a summary of the personal data we process about you, and who we have shared it with;
  • have inaccurate or incomplete data corrected, completed or updated;
  • have your data erased when it is no longer needed for the purpose it was collected for, unless the law requires us to keep it;
  • withdraw consent you have given;
  • nominate another person to exercise these rights if you die or become unable to;
  • have your complaints addressed by us, and if you are not satisfied, complain to the Data Protection Board of India.

If you use the app through your employer, please send requests about your attendance, location or training data to your employer first, because it decides how that data is used. You can also write to us, and we will pass your request on and help your employer respond.

To exercise any of these rights, contact our Grievance Officer (section 13). We may need to confirm your identity first.

10. Children

Suraksha Gyan is meant for working adults and businesses. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, contact us and we will delete it.

11. Website analytics and cookies

Our website uses Google Analytics to understand how visitors use it, so that we can improve its content. Google Analytics sets cookies in your browser and collects the usage information described in section 3. It does not store your IP address.

We also record when certain actions happen on the website, such as a form being submitted, a WhatsApp, phone or email link being clicked, a file being downloaded or a page being printed. These records include the type of action and the page, but not your name, phone number, email address or anything you type into a form.

You can block or delete cookies in your browser settings, or install the Google Analytics opt-out browser add-on (tools.google.com/dlpage/gaoptout). The website works the same without them. Google’s use of this information is described at policies.google.com/technologies/partner-sites.

Our free tools and the language setting also use your browser’s local storage to remember what you entered. That information stays on your device; clearing your browser data removes it.

12. Changes to this policy

We may update this policy when our services or the law change. We will change the "last updated" date at the top, and for significant changes we will also tell customers directly or show a notice on the website or in the app.
