Most states cap normal working hours at 48 a week, with overtime paid beyond that. Rules vary by state and site, so check before you publish a roster with long weeks.

How to make a security guard duty roster

  1. Name the site and pick the week. The roster always starts on the Monday of the week you choose.
  2. Choose a shift pattern. 3 × 8 hours gives morning (06:00–14:00), evening (14:00–22:00) and night (22:00–06:00) shifts. 2 × 12 hours gives day and night shifts.
  3. Set guards per shift and paste your guard names, one per line. Guards are split into equal teams, one per shift. Anyone left over becomes a reliever who covers weekly offs.
  4. Check the summary. Uncovered shifts show in red, and anyone rostered over 48 hours in the week gets flagged.
  5. Fix it by hand if needed. Tap any cell to change a guard's shift or mark an off. Then print it on A4, copy it into the site WhatsApp group, or download a CSV.

How many guards does a 24-hour post need?

One guard on a 24-hour post needs three guards on 8-hour shifts, or two on 12-hour shifts. On top of that, add relievers so every guard gets a weekly off. The tool shows the minimum for your pattern under the names box. To see what that headcount costs, use the guard cost calculator.

FAQ

Duty roster questions

Is the duty roster maker free?

Yes. No sign-up, and nothing is uploaded. Your site, guard names and roster are saved in this browser only.

Should I use 8-hour or 12-hour shifts?

8-hour shifts keep each guard within 48 hours a week with one weekly off, but need more guards. 12-hour shifts need fewer guards, but six 12-hour shifts come to 72 hours, so the overtime has to be paid and allowed under your state's rules.

What does the 48-hour warning mean?

Most states cap normal working hours at 48 a week, with overtime paid beyond that. The roster flags any guard over 48 hours so you can add a reliever or rotate offs before you publish it.

Can I rotate shifts from week to week?

Yes. Turn on "Rotate shifts each week" and the teams move to the next shift every week, so the same guards are not always on nights. "Rotate weekly offs" moves each guard's off day forward one day each week.

How do I turn the roster into an attendance register?

Use the PP register maker for a monthly present/absent sheet. In the Suraksha Gyan app, guards check in with a selfie and geo-stamp, and the register fills itself.
