How to fill a PP register for security guards
- Enter the site and month, then paste your guard names, one per line.
- Pick the weekly off day. Those days are shaded. Choose "None" for a 7-day site where offs rotate.
- Mark attendance. Tap "Mark all present for working days" to start, then change the exceptions: A for absent, L for leave, WO for weekly off, H for holiday.
- Check the totals. Attendance %, absences, leave and payable days update as you mark.
- Print it landscape on one A4 sheet for the site file, or download a CSV for payroll and billing.
What is a PP register?
The PP (present/absent) register is the daily attendance record a security agency keeps for each site. It is the basis for guard salaries, the client's monthly bill, and the wage and attendance records inspectors ask for. See the PSARA licence guide for the other registers an agency must keep.
How payable days are counted
Payable days = present + leave + weekly offs + holidays. Absent days are not paid. If your client contract or your state counts leave or holidays differently, adjust the marks before you run payroll.
PP register questions
Is the PP register maker free?
Yes. No sign-up, and nothing is uploaded. Each site and month is saved separately in this browser, so you can come back and keep marking.
Can I keep registers for more than one site?
Yes. Change the site name or month and you get a fresh register. Switch back and your earlier marks are still there, in the same browser.
Can I import it into Excel or payroll software?
Yes. Download the CSV. It has one row per guard, with the daily marks and the totals.
How do I stop registers being filled in after the fact?
A paper or spreadsheet register can be back-filled. In the Suraksha Gyan app, guards check in with a selfie stamped with their location, the register is built from those check-ins, and the supervisor is alerted if a guard leaves the site.
